Project direction

What this project IS — the audience, the tone, what must and must not happen. It shows on the project and on every deliverable and task under it, so the person doing the work can read it without asking.

Deliverables

One deliverable a line, typed or pasted as a whole list. To give one notes, write them on the line under its name, starting with a space or two. Choosing a template fills them in for you.

What each project has cost so far: supplier quotes and invoices filed to it, plus anything added by hand. A quote counts until its invoice arrives; then only the invoice does.

Every enquiry from the website contact form lands in Lead on its own. Drag a deal between stages (Command-click a column’s fold, or Ctrl-click on Windows, to fold or open them all). Click a card to read the full enquiry or edit it. Totals per stage show the value in play, in rands at today’s rate.

Team

Everyone who works with ThinkStory — full-time staff and freelancers. Add people by hand, or they join automatically the moment they sign the Service Provider Agreement on the site. Click a name to edit their details and keep their signed documents together.

Everyone outside ThinkStory that you work with — clients, stakeholders, suppliers and anyone else worth keeping close. Add anyone, keep their details current, and export them straight to a phone or computer.

Models, drone operators and everyone else you book for a job — the people it used to take a trawl through Legal to find. Import brings in everyone who has signed a model release or drone permission, with their signed document attached. Keep their fee, their sizes and anything else worth remembering in Notes.

The companies behind your contacts, kept separately — addresses, VAT and registration numbers, and everything an invoice needs. The people linked to each company show on its page.

People who have emailed you and are not in the database yet, picked up straight from your inbox. Their email signature fills in what it can — job title, mobile number — so adding someone is one click and a glance. Their company is named only when their address’s domain is on a company’s record in Companies; otherwise you pick it from the list, or add it on purpose, since none is ever guessed for them. Add as contact asks which list they go in. Dismissing someone blocks them for good, and after two from the same place the whole domain goes with them. Newsletters, no-reply addresses and your own mail never reach this list. Nothing is ever added, sent or replied to on its own.

Everyone who has applied through thinkstory.co.za/join — the form suppliers and freelancers fill in to join the team. Click a name to see everything they sent, read their CV and leave a note. Nothing here is visible to them.

Legal

The signable release pages on the website. Send the right link: each signed PDF is filed here under Releases, and the signer is emailed a copy. A model release emails the team nothing; the other documents also send the team a copy by email.

Slack invite link

Slack invite links expire, and only Slack can mint a new one. Paste the new link here and everything updates at once — the button and the QR code on /suppliers, plus every QR already printed or shared.

  1. In Slack: Admin, then Manage members, then Invitations, and copy a fresh invite link.
  2. Paste it above and press Save. That is the whole job.

Every page on the website. The list is rebuilt each time the site is published, so a new story or article turns up here on its own. Click a link to open it; click the path to copy it. Access codes show against the pages that need one — click a code to copy it. They are only ever sent to someone signed in with the Access codes right, and Copy all leaves them out.

What you publish here is live on /store within a minute. A draft is not on /store: only the team who open the Store here see it. Previews are watermarked automatically when you upload a still; the clean master never leaves storage until a paid order.

Smaller fits more on the screen, and is how the dashboard starts. Larger draws everything a step bigger. Your choice is kept in this browser on this computer, not on your account. Your browser’s own zoom (Command with minus or plus on a Mac, Control on Windows) still works on top of it, and on a phone the dashboard keeps its own size.
